Before: the busy season

Enrollment has a peak, and it used to be brutal. Registrars and enrollment specialists worked 80-hour weeks, up late at night with printers running through the night. The volume was not the main cost. The back-and-forth was. For one student, the same loop repeated until the packet was complete:

1. A guardian sends documents by email, photo, fax or in person, in whatever shape they have.
2. Staff open each one and ask: is it the right document, is it readable, is it current, is anything missing?
3. Staff write to the family to say what is wrong. The family answers days later, sometimes with the same document again.
4. Staff print and file what finally arrives, check the whole packet one more time, and key it into the SIS.

Most of that work is not judgment. It is looking, comparing against a list, and writing the same reminder.

After: staff stop noticing it is the busy season

In the district where this was built, the enrollment team now runs the whole process from one visible dashboard, and the peak weeks no longer feel like a peak. Each student moves through the same four steps:

   Guardians submit against your own packet list in one place. Our algorithms flag a missing or unreadable document when it arrives, and no one is asked for the same document twice.

   Process

   Staff work from the dashboard and open the exceptions, not every file.

3. Step 3

   Export to the SIS

   When a packet is complete, the system produces a file that is ready to upload into your student information system. No re-keying.

4. Step 4

   Hand off

   The new student passes to an onboarding specialist, who starts from a finished record.

The aim is not fewer people on your team. It is the registrar’s week going back to the work only a person can do, and a shorter enrollment process that stays easy for guardians and for staff.

Guided for guardians, on a phone or a computer

The process works the same on mobile or desktop, and it walks a guardian through each step instead of handing them a list. If our built-in algorithms see something that looks off, the guardian is told in real time, while they are still there to fix it: a blurry photo, the wrong document, a missing page. So staff usually get what they need on the first round of submissions.

That is where most of the saved time comes from. The round trips mostly never happen.

See the pipeline as it happens

Administrators can see the enrollment pipeline in real time: how many families have started, who is waiting on a document, and what is ready to hand off. They no longer wait for a manual report, which could arrive days later and be out of date by the time anyone read it.

Families can also tell you how it went. Enrollment is one of the touchpoints where the district uses Wow-o-Meter, and people tell us regularly that they love it.

Staying in compliance

Enrollment documents are what a state looks at when it audits a district: proof of age, residency, immunization, home language, and whatever else your packet and your state require. Districts have been cited when those records were missing or incomplete. The cause is rarely carelessness. It is a packet that was checked by tired people at the end of a 12-hour day, in the busiest week of the year.

• Gaps surface at enrollment, not at the audit. A missing document is flagged while the family is still reachable and the school year has not started, not discovered months later in a folder.
• Leadership sees gaps while they can still be fixed. The live pipeline shows which students are incomplete today, not in last week’s report.
• The same check on every student. It does not get weaker late at night in the second week of August.
• You decide what counts as complete. The checks follow your own registration packet, so they follow whatever your state asks you to collect.

This is a way to catch what your staff would otherwise have to catch by hand. It does not replace your district’s own compliance review, and it does not decide what your state requires.
